People and Operations Manager

Purpose of the Position

The People and Operations Manager is responsible for leading the development of the growing Women’s Wilderness team, as well as overseeing efficiency and excellence in day-to-day operations of our team and facility.  Reporting to the Executive Director, the People and Operations Manager is primarily responsible for managing Women’s Wilderness’ human resource function to ensure we have the right people in the right roles with the right resources, tools and support they need to thrive. The secondary function of this role is to oversee the operations of the team in our historic building (The Harbeck-Bergheim House) that we share with other local nonprofits. The ideal candidate for this position is an agile generalist with strong people skills who believes in our mission and thrives in a fast-paced, high-demand environment. This is a full-time, exempt position based out of our Boulder headquarters, with the possibility of occasional remote work. 

Core Accountabilities

1. People and Culture Leadership (60%)

  • Hiring: Lead recruitment, interviewing and hiring process for open positions with support of relevant managers. Maintain organizational organogram and position profiles for all current positions.  
  • Contracting: Prepare/renew employment and consulting contracts with support from the Executive Director
  • Onboarding and Offboarding: Maintain a clear onboarding and offboarding process for employees; guide new employees through onboarding process and exiting employees through onboarding process; conduct exit interviews for all departing PT and FT employees (excludes seasonal staff)
  • Payroll: Oversee all aspects of payroll set-up, processing, and reporting via Gusto payroll system including required federal, state and local taxes and withholdings and compliance with related policies and applicable law.
  • Benefits and Leave Programs: Manage benefits and leave programs including initial benefits counseling and enrollment, communicating timely policy changes and required disclosures, assisting with questions and external referrals, and coordinating time off requests and other leave programs. Serve as key point of contact for retirement plan administrators and health insurance broker
  • Time Tracking: Develop and maintain a clear paid time off time tracking system within Gusto; communicate with employees as needed regarding their allocations and usage
  • Policy and Compliance: Ensure Women’s Wilderness is in compliance with labor laws (as outlined by our Employee Handbook); update Employee Handbook as needed; support Program Director in ensuring all staff have submitted paperwork and are compliant with our Colorado Child Care Licensing requirements
  • Diversity, Equity and Inclusion:  Evolve and implement internal equity and inclusion strategies and activities including staff training; track progress on strategic DEI goals;  Lead and inspire an employee focused culture that celebrates the diverse WW community; lead the evolution of a culture of belonging within the organization that values individual differences as a collective strength
  • Engagement and Celebration: Promote positive organization-wide connectedness through a employee engagement activities for team members, lead the recognition and celebration of individual and organizational success, and deepen employee sense of belonging and appreciation including birthdays, anniversaries, collective milestones, and other activities
  • Performance, Goal setting and Coaching: Coordinate the bi-annual goal setting and performance review processes for all administrative employees and support a culture of constant feedback and learning through targeted coaching and mentoring organization-wide
  • Calendars: Manage the all team calendar, keep team members informed of key dates and deadlines, and ensure everyone is keeping their calendars up-to-date with their working locations, working hours, and any approved paid time off regularly
  • Continuous Improvement: Collaborate with the Program Development and Impact Manager on developing systems and processes to gather input and ideas to help inform and continuously improve operations amongst administrative and field staff, manage staff professional development opportunities and processes (excepting field training)
  • Address any employee grievances according to to Employee Handbook grievance policy, including but not limited to, workplace concerns or conflicts
  • Provide leadership and guidance for best human resources, people and organizational  practices

2. Oversee Women’s Wilderness Team Operational Systems (20%)

  • Manage Google Business account, including Gmail accounts for all employees and organizational cloud storage
  • Serve as the main point of contact with external IT support, and provide recommendations for system and product improvements, as needed
  • Manage internal organizational events and trainings such as staff retreats, trainings, holiday parties and team-building activities
  • Support financial and accounting system development and maintenance as needed

3. Manage Office Facility (Harbeck-Bergheim House) (15%)

  • Serve as key point of contact with City of Boulder (landlord) and subletting tenants (3 currently)
  • Manage rental contracts for long term rentals (tenants) as well as short term rentals for community use of shared spaces
  • Oversee effective and efficient building utilities and maintenance
  • Manage relationships / contracts with building service providers (i.e. Internet, trash, cleaning) and ensure timely payment for services
  • Ensure all WW team members are set up for success regarding work stations and technical equipment
  • Manage office equipment and supplies

4.  Engage with the Women’s Wilderness Team (5%) 

  • Attend weekly team meetings and key events
  • Participate in 1 on 1 meetings with manager regularly
  • Participate in Performance planning, goal setting and evaluation activities
  • Liaise with key staff across functions of this position
  • Support events and fundraising efforts
  • Support the advancement of the mission of Women’s Wilderness by participating in strategy/goal setting and planning processes

Full time, Exempt, 40 hours per week

Location

Boulder, Colorado with possibility of limited remote work

Compensation and Benefits 

The salary range for this position is $48,000- $59,000 annually, benchmarked based on Colorado Nonprofit Survey averages relative to comparable organizations. Exact placement on range will be determined based on a combination of experience, education and demonstrable skills. Experience, Skills and Abilities

This position is suited for a strategic, passionate leader interested in nonprofit management and social justice and environmental progress work.  A successful applicant must have a minimum of 5 years of relevant professional experience (see list below), with the necessary skills to motivate and lead a team of professionals in developing and maintaining dynamic and sustainable programs that support and advance Women’s Wilderness’ commitment to justice, equity, diversity, and inclusion. Specifically, we are looking for the following qualifications in competitive candidates for this role:

  • Minimum of a bachelor’s degree
  • Minimum 5 years of overall professional experience; ideally 2+ years of human resources experience
  • Experience and demonstrable ability to work collaboratively with people from diverse  racial, geographic, religious, sexual, gender, and generational backgrounds
  • Ability to incorporate an anti-racist and anti-oppression lens into Women’s Wilderness’ people-focused operations
  • Ability to maintain confidentiality, exercise sound independent judgment, and exhibit high levels of integrity and discretion
  • Demonstrated knowledge and understanding of employment law and compliance requirements and HR best practices
  • Demonstrated experience developing and implementing HR strategies, programs and practices 
  • Strong interpersonal communication skills and conflict resolution skills
  • Experience with Microsoft Office and G Suite/Google Business (Gmail, Drive, Calendar)
  • Ability to self organize, manage projects and manage time efficiently
